
MedSpeech Privacy Policy

This document describes the privacy policy for the MedSpeech service provided by Medical Toxicology LLC. Use of this service constitutes the user's acceptance of the terms of this policy.
2. Information Collected
During the use of the service, the following information may be collected and stored: • Audio files uploaded by the user • Speech-to-text converted transcripts • AI-generated texts • Language information used • File metadata (format, size, recording time, etc.) User identifiers and activity history
3. Purpose of Information Collection
The collected information is used solely for: • Speech processing and text generation • Improving machine learning models with anonymized data (with explicit user consent) Maintaining records for users' future reference
4. Information Sharing
• User information is only accessible within their own account. • Information is not transferred to third parties for advertising or commercial purposes. Access to data is limited to technical staff, encrypted, and only when necessary.
5. Data Security
• All data is protected during transmission and storage using advanced encryption standards. • Access to information is conducted only via secure channels (HTTPS/TLS) and is limited to authorized personnel. • Audio files are removed from access once converted to text. • If technical needs arise, limited and logged access by technical staff may occur.
6. HIPAA Compliance and PHI Protection
MedSpeech operates in compliance with HIPAA regulations and handles any information considered Protected Health Information (PHI) according to HIPAA standards.
7. Data breach notification
In the event of a data breach, Medical Toxicology LLC commits to notifying affected users and reporting to legal authorities within 60 days.
8. Business Associate Agreement (BAA)
MedSpeech will execute a Business Associate Agreement (BAA) under HIPAA requirements when collaborating with healthcare or medical institutions.
9. User Rights
At any time, users may: • Request a copy of their data • Delete their data via the user dashboard • Requests will be reviewed within seven business days.
10. Data Retention and Automatic Deletion
User information is retained for a maximum of 12 months from the last activity and will then be securely deleted unless legally required or requested by the user.
11. Data Storage Location
Information is stored on secure servers and protected under applicable data privacy laws and standards, including HIPAA, GDPR, and ISO/IEC 27001.
